Handling Workload With Less Employees

Optimising The Work-Force Potential

Due to several reasons such as the post-pandemic situation and the current European holiday season, companies are facing higher workload but are having to make do with a reduced number of personnel. Therefore, it is of utmost importance that companies find an effective way in handling workload with less employees to optimise the full potential of the workforce to guarantee the same level of efficiency. Although it may seem like a complicated task, with the correct leadership method combined with employee determination, it garners results that are worth the effort.

To optimize efficiency, it is important to first learn how to prioritise. It is a proven way that improves focus and reduces distractions, thereby ensuring improved productivity. However, it may be difficult to do this when juggling several responsibilities while simultaneously handling an intense workload. Unfortunately, it is due to this reason that many employees lose time in decision-making and increase chances of burnout. To face this situation, creating a detailed plan with information about projects that are ranked by order of importance could be the way to go. This sets everybody in motion and allows juniors and leaders to be on the same track and avoid miscommunications.

In addition, one of the catalysts of improved performance is professional freedom and independence. Entrusting employees with extra responsibilities can balance the workload for managers and allow junior staff to show their potential. Leaders must be available at every step of the way to monitor and give guidance when necessary. A task management platform could be a great addition for remote and in-house workers, as it will ensure that both employees and their managers are on the same page. Additionally, it allows for addition of real-time new features such as KPIs, goals, information etc. If time allows it, it can be subsequently beneficial to train and coach employees to handle these additional responsibilities beforehand, so that they feel confident and leaders are assured of their quality of work.

Similarly, excessive red-tape, unnecessary administration protocols and paperwork are known to slow down work completion. Unfortunately, these must still be completed even with the mitigated number of employees in the office. In such cases, companies could benefit from an alternate measure which invites direct person-to-person procedures rather than going through conventional bureaucratic systems. Not only will this save time, but also effort. However, this system must be standardised and tested before implementation, or else it could lead to disorganisation and further time inefficiency.

The current time can be challenging for both employees and leaders. It necessitates effective coordination, and drive from both parties to push through this complicated time and make the best of the resources available by effectively handling workload with less employees.
